Beth Donovan Hospice is inviting applications for the Program Assistant position

Beth Donovan Hospice (BDH) is a volunteer-based community service organization, who, since 1992, has offered compassionate care to people living with a life-limiting or terminal illness or loss. We are inviting applications for the full-time position of Program Assistant. Reporting directly to the Executive Director, the Program Assistant will oversee the efficient and effective operation of the Hospice office and be responsible for the Equipment Lending Program.


This position requires:

  • Periods of sitting standing and physical activity, working primarily in an office environment with some work possibly taking place outside of the hospice office. Being responsible for the Equipment Lending Program requires physical abilities of lifting, pushing, pulling and bending.


Provide administrative program support including but not limited to:

  • Being the first point of contact for clients and receive visitors and phone calls from a variety of internal and external sources, handle routine matters on own initiative and refer others to the Executive Director or other staff members as appropriate;
  • Effectively manage the team calendar and schedule appointments/meetings;
  • Receive, review, prioritize and track incoming material/requests, refer to the Executive Director or other Beth Donovan Hospice (BDH) staff, volunteers or partners for action as appropriate, follow up on outstanding items;
  • Under the direction of the Executive Director, conduct information gathering and basic research, compile audit data/statistic and summarize information;
  • Proof-read, edit, format and draft a variety of documents;
  • Identify and discuss non-routine items with Executive Director to discuss action required and relay instructions to other staff members as directed;
  • Establish and maintain electronic and manual filing systems, ensuring security of information and maintain confidential access;
  • Print, photocopy, fax, collate, distribute and retrieve documents/files;
  • Prepare, maintain and distribute information such as resource schedules, membership databases, distribution lists, directories and other reports as required;
  • Provide support for special projects and related duties to support the operational needs of the organization;
  • Take minutes for all meetings, accurately record and file;
  • Responsible to track and order all business supplies and BDH marketing materials;
  • Accurately input data into CIMS database


  • Possess a recognized Diploma in the field of Administrative Assistant, or equivalent;
  • Minimum of 3 years recent experience in an Administrative Assistant/Executive Assistant role. Experience in a healthcare or a non-profit setting would be considered an asset;
  • Mandatory demonstrated proficiency in data entry. Experience with GiftWorks, InfoAnywhere or CIMS is considered an asset;
  • Exceptional proficiency in all aspects of Microsoft Office Suite;
  • Experience in governance with a Board of Directors;
  • Strong skills as a team player and able to work autonomously;
  • Demonstrated writing and editing skills, with the ability to draft press releases and post to social media is considered an asset;
  • Must have a valid driver’s license and be able to obtain a clear police records check;
  • Empathic, compassionate and be able to demonstrate sensitivity to clients that are emotional or in distress;
  • A keen interest in making a difference and willingness to provide support outside of regular business hours.
